01 Who We Are

PingLoop is a WhatsApp business messaging platform developed and operated by Lynx Tech ("we," "us," "our"). PingLoop enables businesses ("our Clients") to communicate with their own customers via WhatsApp, manage conversations, and automate messaging workflows.

02 Information We Collect

Depending on how a Client uses PingLoop, we may process:

• WhatsApp messages — text, images, documents, audio, and video sent to or from a Client's WhatsApp number
• Contact information — phone number and WhatsApp profile name
• Order information — for Clients using our e-commerce integration, order details, delivery information, and related contact information from the Client's connected store
• Client staff account information — names, usernames, and role information for individuals a Client authorizes to use the PingLoop dashboard
• Technical information — message timestamps, delivery and read status, and device information necessary for push notifications

03 How Information Is Used

Information is used solely to:

• Deliver and display messages between a Client and their customers
• Power automated replies and workflows a Client has configured
• Send order-related notifications (such as confirmations or shipping updates) where a Client has enabled this
• Maintain a record of conversation history for the Client's own reference
• Operate, secure, and improve the PingLoop platform itself

We do not sell personal information, and we do not use message content to serve advertising.

04 How Information Is Shared

Information is shared only as necessary to operate the service:

• Meta / WhatsApp Business Platform — messages are transmitted through Meta's WhatsApp Business API to be delivered
• Shopify — for Clients with e-commerce integration enabled, relevant order information is exchanged with the Client's own connected Shopify store
• Infrastructure providers — data is stored on servers operated by our hosting provider, with encrypted backups maintained for disaster-recovery purposes
• The Client themselves — all conversation data is visible to the Client business you are messaging and their authorized staff

We do not share your information with unrelated third parties for their own marketing purposes.

05 Data Retention

Message and conversation data is retained for as long as the Client's account remains active, or as required to comply with legal obligations. Backups are retained for a limited period specifically for disaster-recovery purposes and are not used for any other purpose.

06 Data Security

We apply reasonable technical and organizational measures to protect information, including encrypted connections, access controls limiting data visibility to authorized Client staff only, and regular, tested backup procedures. No system can guarantee absolute security, and we encourage Clients and their customers to exercise discretion regarding sensitive information shared over messaging platforms.

07 Your Rights

If you are messaging a business that uses PingLoop, your primary relationship is with that business (our Client). Requests to access, correct, or delete your personal information should generally be directed to the Client business you communicated with. Lynx Tech will assist a Client in fulfilling such requests where required by applicable law.

08 Children's Privacy

PingLoop is a business communication tool and is not directed at children. We do not knowingly collect personal information from children without appropriate parental or guardian involvement, and rely on our Clients to ensure their own use of the platform complies with applicable requirements regarding minors.

09 International Data Transfers

Information may be processed and stored in a country other than the one in which you are located. Where this occurs, we take steps to ensure information continues to receive an appropriate level of protection.

10 Changes to This Policy

We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
